Home watch invoice template: every visit dated, every extra on its own line

A home watch invoice template for the family whose house you check while they are away: every visit on its own dated line, extras like a vendor let-in on their own lines, the house named on each line, and a link to the visit reports. Two versions, per visit and monthly. Full text on the page; print it, copy it, or save it as a PDF.

The family paying this invoice hasn’t seen the house since they left. They can’t check the work, so the invoice has to show it: which day you went, what each trip cost, and where the report is. A line they can match to a report is a line nobody calls about.

Copy it, print it, or save it as a PDF from the print dialog. No email wall.

The same invoice, filled in

One family, one 2,600 sq ft house in Florida, weekly checks at $50 a visit, billed per visit for November:

DateWhatAmount
Nov 4Home visit$50
Nov 11Home visit$50
Nov 12Extra: let the pool tech in, waited 40 minutes$50
Nov 18Home visit$50
Nov 25Home visit$50
Nov 25Extra: arrival prep, A/C down and the fridge stocked$40
Total due$290

On the monthly version the four visits become one line, “Home watch, November, weekly: $215”, and the two extras stay as they are, for $305 in all.

Four lines that keep it from being questioned

A date on every visit. “4 visits, $200” makes the family wonder which four. Nov 4, 11, 18 and 25, each with a report behind it, answers that before they ask.

Extras on their own line, written down the day they happen. The pool tech on the 12th is easy to bill on the 12th. On the 30th, working from memory, it’s the one you forget, and a forgotten extra is work you did for free.

The house on every line. A family with a main house and a condo gets one invoice, not two. Each line says which house it came from, and each house gets its own subtotal.

The link to the reports. Most invoice templates have no place for it, and it’s the line that settles a question about a charge. A family wondering about Nov 18 opens that day’s report and sees the photos.

Per visit or monthly?

Bill per visit until a client has been with you a full season. The lines show exactly what happened, and you learn how often the house really needs you. Move to monthly once the schedule has held for a season and the extras are written into your service agreement as outside the fee. The math for both is in how to bill home watch clients, and the rates are in home watch pricing.

On House Matters this invoice builds itself from your visits. Each visit you finish adds a dated line at the home’s rate, each extra goes on as its own line, and a family’s month can go out as one invoice for every house they own. On Stripe and Wave it carries the line “Thanks for trusting (your business) with your home” and a link to the visit reports. A client who paid for the season up front is marked paid in advance through a date, and those visits never reach a bill. House Matters doesn’t bill a flat monthly fee. If you charge one, use the monthly version above.

Questions people ask

What should a home watch invoice include?

Your business name and how to reach you, the family’s name, the address of each house, the date and kind of every visit and extra, each amount, the total, the due date, how to pay, and a link to the visit reports. The last one is what ends most questions about a charge.

When should I send a home watch invoice?

On the 1st, for the month before. A client who pays for the season up front gets one invoice before they leave, while they’re still thinking about the house.

How do I invoice a client who owns two homes?

One invoice for the family, each line naming its house and a subtotal per house. Two invoices means two due dates and two payment links, and one of them gets missed.

Can I use this in Word or Google Docs?

Yes. Copy the text into a new document and make it yours, or print this page and pick Save as PDF. Nothing to sign up for.
